People and Organisations


Organisations

The purpose of this application is to view organisations or add organisations (and their details) to the database. You can search organisations also by function (Recycling Depot, Design, etc.). You can associate people to an organisation and also add important notes, such as “delivery only on Tuesdays”.

You can view all the functions that have been created for your specific needs (Bank, Media, Design, etc.). Every function gets a different colour and symbol to make it easier to distinguish them. You can also add new functions if needed.

Organisations

This is a list of all the organisations on the system. You can filter organisations by their functions by clicking on one of the icons at the top of the page. You can also search organisations by using the search bar on the top right hand side of the screen or browse the pages by clicking on the numbers on the bottom right hand side of the screen.

Adding an organisation to the system

Whenever information about an organisation needs to be recorded on the system that organisation will need to be added to the system (unless they are on it already).

  1. Click on "People & Organisations" on the main menu.
  2. Click on "Organisations" on the main menu.
  3. Click the large green "Add a new organisation" button.
  4. Fill in their details.
  5. Click the "Save" button.

This will take you to that organisation’s profile. That organisation is now on the system. You can add a function to that organisation. You can also add notes to the organisation.


Viewing and editing organisations

This is a list of all organisations on your system. Search for an organisation using the search bar on the top right hand side of the page or browse the pages by clicking on the numbers on the bottom right hand side. Click on an organisation in order to view or edit it.

Organisation Functions

This is a list of all the organisation functions in the system.

  1. Click on a function to edit it.
  2. Click the large green "add a new function" button to add a new function.

People

The purpose of this application is to view, edit or add new people to your system. All people associated with your organisation should ideally be recorded on your system. This includes you, your team, and customers. You can filter people by their roles (also known as "positions") by clicking on one of the icons at the top of the screen. You can also search people by using the search bar on the top right hand side or browse through people by clicking on the numbers on the bottom right hand side of the screen.

Adding a new person to the system

Whenever information about a person needs to be recorded on the system that person will need to be added to the system (unless they are on it already).

  1. Click on "People & Organisations" on the main menu.
  2. Click on "People" on the main menu.
  3. Click on the large green "Add a new person" button. This prompts a window to open containing six basic fields required to add a new person.
  4. Fill in their details.
  5. Click the "Save" button.

This will take you to that person’s profile. That person is now on the system. You can add a role to that person’s profile. You can also add notes to their profile.

Finding a specific person’s profile

  1. Click on "People & Organisations" on the main menu.
  2. Click on "People" on the main menu.
  3. Enter that person’s name in the search bar on the right hand side of the screen. Click the first name or last name (in blue). This will take you to that person’s profile.

Creating associations between people and organisations

To show that a person is somehow linked to an organisation or vice versa, there needs to be an "association" between the two.

  1. Go to that person's profile.
  2. If, for example, that person's name is John, you will see "John's organisations" near the bottom of the page. Click the empty box below this. All the organisations that are already in the system will drop down.
  3. Either select one of these organisations or type in the name of the organisation you are looking for. Click on the organisation name to add it. The organisation will then appear underneath "John’s organisations".
  4. You can then add details about this association by clicking "add details" underneath the organisation name. To "select position", click on the arrow pointing down (on the right hand side of this box). A few options will drop down, select one of them. If the position you are looking for is not an option, enter the position in the box under "position alternative".

People Roles

Roles describe the type of activity or activities that people perform within, or in relation to, an organisation. This includes traditional categories of roles paerformed as employees or owners (internal roles) and customers or supporters (external roles).

Besides personal data such as address, phone number and a profile picture you can add specific roles to each person (manager, customer, etc.). Also, you can connect them to organisations or add notes such as "New cell number". You can search people by name or role. All of the roles we have created for your specific needs (admin, supplier, etc.) can be viewed and edited. Every role is colour-coded and is awarded a unique symbol in order to make it easier to distinguish. You can also add roles yourself as needed.

People Roles

This is a list of all the roles in the system. Certain particular roles will enable people to perform specific functions within your system.

  1. Click on a role to edit it.
  2. Click the large green "Add a new role" button to add a new role.
